Parent Supervision at Training - Procedures
What’s expected, an outline of duties, and how to handle emergencies
For the safety and wellbeing of all members of the club, there are several expectations SHNC has for training including parent supervision at training, setup, expectations, and what to do in certain scenarios.
Members, and those associated with members, who participate in training in any form, should review and act in accordance with the procedures below, in line with the club’s Parents Supervision at Training Code of Conduct.
A. When Supervision Is Required
At least one parent/guardian supervisor must be present at every training session. – This applies whether a coach is over 18 or under 18. – A supervisor is separate from the coach so the coach can focus solely on instruction, not monitoring arrivals, departures or safety issues.
Senior teams (where more than half the players are adults) may not require a parent supervisor. – This will be confirmed with the team at the start of the season. – Parents may still supervise their under 18 child, if they wish.
B. Supervision Roster
The Team Manager creates the supervision roster at the start of the season.
Each family is allocated at least one session per season.
If a parent cannot attend their allocated session, they must arrange their own swap via their Teams WhatsApp group chat.
Parents of other players are welcome to remain on-site at training.
C. Duties of a Parent Supervisor
During training, the Supervisor must:
Monitor overall player safety – Keep attentive oversight of training space – This means remaining in the hall where training is being conducted. – Check who enters the venue; challenge unauthorised adults – Escalate concerns to the coach, club, or police (if needed)
Support injury or illness response – Provide basic first aid within ability (band‑aid, ice pack) – Contacting player’s parent/guardian – Refer to our Illness or Injury at Training guidelines below
Remain on site until all players are collected – Essential for teams with players under 18 – NOTE: Parents are expected to drop off and collect players to and from the stadium
D. Working with Children Check Requirements
All supervisors must hold a valid WWCC.
Each family must provide at least one WWCC at the start of the season.
Additional parents are encouraged to submit WWCC details so they can assist.
Parents and guardians are required to maintain a current WWCC and promptly advise the club of any changes to their status.
WWCC compliance is managed by the Child Safety Officer, who will:
Confirm that at least one parent or guardian from each family has supplied a valid WWCC and stores this information securely
Monitor to ensure submitted details are not due to expire within the following six (6) months.
In the event WWCC expiry dates are approaching, when required, contact relevant families to request renewal of the WWCC
Illness or Injury at Training – Step by Step Procedure
Surrey Hills Netball Club is committed to providing a safe environment that promotes the health, wellbeing, and safety of all children and young people. In accordance with Netball Victoria Child Safe Standards, all reasonable steps must be taken to respond promptly and appropriately to illness or injury during training activities.
IMMEDIATE RESPONSE
Assess the Situation
Determine the severity of the player’s illness or injury and whether it:
Requires emergency assistance, or
Can be managed with basic first aid
Then follow one of two respective procedures below.
Emergency Assistance
If risk is serious or urgent → Call 000 immediately.
Ask another adult (coach/team manager/parent) to notify the child’s parent/guardian.
Stay with the child, provide reassurance, and follow Emergency Services instructions.
Do not move the child if a head, neck or spinal injury is suspected unless in immediate danger.
Remain with the player until emergency services arrive, providing reassurance and support while waiting.
Basic First Aid Response / Non-urgent Care
Provide basic first aid within your ability. This may include: – Band‑aids – Ice pack application – Providing space for rest where appropriate
Contact the parent/guardian as soon as practical to explain the situation – This could be at pick up depending on the timing of the incident.
Request the player’s parent attend training if needed, and follow their instructions regarding the care of the child if provided.
Supervise the child until collected.
Use ice packs from: – Training Venue kitchen freezer – Snap freeze pack in team training bag Notify SHNC Equipment Coordinator if backup pack is used.
FOLLOW UP AND INCIDENT REPORTING
It’s important to notify the Club of any incidents, which will be securely stored as part of record keeping. This should be completed within 24 hours.
For a complete account of what occurred, the parent supervisor for that session, or coach, must complete an Incident Report.
Details are submitted via the Surrey Hills Netball Club Training Incident Log, including: – Player name – Team – Date & time – Description & action taken
What Parent Supervisors Must NOT Do
Supervisors must never:
Give medication to any player under 18 (including Panadol/Paracetamol) without explicit parent permission.
Move a child suspected of head, neck or spinal injury unless directed by emergency services.
Allow an injured or unwell player to continue training.
Leave an injured or distressed child unattended.
Dismiss or minimise a player’s pain, injury or distress.
These guidelines support the club’s commitment to Netball Victoria Child Safe Standards and ensure consistent, appropriate responses to incidents involving children and young people.
Club Administration & Safety Controls
A. Start of Season Requirements
As part of registration, Parents/guardians must give consent for:
First aid provision
Contacting emergency services
If consent is not provided, the parent must attend all training sessions.
B. First Aid Resources
As part of the club’s preparation for any basic first aid, SHNC will ensure that:
Every training bag must contain a basic first aid kit and a backup ice pack.
Kits are checked and restocked at season start by the Equipment Coordinator.
